Ofsted inspector privacy notice

This notice is for Ofsted inspectors named in published Ofsted reports. RJS & Partners LLP (OC455066), trading as DullDocs, is the controller for the Inspector Briefings processing described here. We process only the information needed to analyse published reports:

• your name and name variants as printed in published Ofsted reports;
• an internal, name-derived reference used to link reports consistently and honour objections; it is not treated as proof that two people with the same full name are the same person, and ambiguous names are withheld from sale;
• which published reports name you, with report dates, setting types and public report references;
• verified report wording, citations, topic counts and other analysis derived from those reports; and
• any objection, access or correction request you make, including the date and action taken.

We do not use photos, contact details, employment history, social-media information, biographies or other personal information about an inspector. Briefings describe patterns in attributed reports, not an inspector's personality, sentiment or behaviour.

The only source material about an inspector used for Inspector Briefings is published Ofsted reports. We do not enrich a briefing with inspector directories, people-search services, social media, news coverage or other sources about the inspector.

We use the information to help regulated childcare settings prepare by making themes in relevant published reports easier to find and understand. Our lawful basis is legitimate interests under UK GDPR Article 6(1)(f): our commercial interest in providing evidence-based preparation tools and our customers' genuine need to prepare for regulatory inspection.

We limit this interest through report-only sourcing, citation checks, cautious identity matching, limited-evidence warnings, a refusal to sell where there are no attributed reports, and the objection mechanism below. Inspector Briefings is guidance from past published reports; it is not a prediction.

DullDocs matches the name printed in a published report to an internal inspector record, then identifies report topics and supporting passages. Customer-visible findings must be supported by a page-verified citation. Ambiguous names are not treated as a confident match. The service does not make a solely automated decision that has legal or similarly significant effects on an inspector.

Public search users may see limited report-coverage information when a safe match is available. Customers who purchase a briefing and authorised members of their organisation can see the report-based analysis. Authorised DullDocs staff can access records for quality, support and rights requests. Our contracted hosting, database, email, payment and AI-processing providers process only the information needed to provide their service; they are listed in our main privacy policy.

The published-report information described here is processed using hosting, database and AI services that may operate outside the UK, including in the European Union and United States. • Ordinary search analytics use a protected hash/token rather than the plain-text name and are kept for 13 months.
• If you ask for a no-match notification, the plain-text search name and notification email are deleted after we send the notification or after 90 days, whichever happens first.
• Website-to-app handoff records are deleted after 7 days.
• Journey IDs and associated non-plain-text funnel events are deleted or irreversibly aggregated after 13 months.
• The current subject access export is generated for secure delivery and is not kept as a separate downloadable file. If we introduce stored delivery files, they will be deleted within 30 days of delivery or request closure.
• If we honour an objection, we keep a minimal suppression identifier for as long as Inspector Briefings operates so that later report ingestion does not add the inspector back. We keep the full rights-case audit record for six years after the latest action or case closure.
• We keep published report attribution and report-derived analysis for up to seven years from report publication, with an annual review of whether it is still needed. We delete it earlier if Ofsted withdraws the source, Inspector Briefings ends, or it is no longer needed for this purpose.

A suppressed briefing is withdrawn immediately, and customer-visible cached copies are scheduled for deletion within 30 days.

You have the right to object to processing based on legitimate interests. Email privacy@dulldocs.com with the subject “Inspector objection”. Tell us the name used in the reports and enough information for us to locate the correct record. We may ask for proportionate evidence of identity so that we do not act on someone else's data.

DullDocs's product policy is to honour a verified inspector objection. We suppress the canonical inspector record so public searches return the ordinary no-match state, prevent new purchases, and withdraw existing briefings from view. Affected customers receive a neutral unavailability message and a support route for refund review; we do not tell them that an objection was made.

You can ask for a copy of the personal data we hold about you, correct an inaccurate attribution, restrict processing or request deletion where the law applies. Email privacy@dulldocs.com with the subject “Inspector data request”. Requests may also be made verbally or in writing. We may need proportionate identity evidence, and we normally respond within one month. Access information is provided securely in a commonly used electronic format, with other people's information protected where required.

We obtain this information from published Ofsted reports rather than from inspectors directly. This public notice is one of the measures we use to make the processing transparent and to give every inspector a practical route to exercise their rights.
